JOB DESCRIPTION

Job Title: Human Resources Intern
Department: Human Resources
Reports To: Operations Administrator
Internship Type: Unpaid Internship – Nonprofit Organization
Schedule: Approximately 20 hours per week
Duration: Defined semester or internship term

POSITION SUMMARY

The Human Resources Intern will gain practical, supervised experience in recruitment, onboarding, training coordination, compliance tracking, employee records, and general Human Resources administration within a nonprofit human-services organization.

Working under the supervision of the Operations Administrator, the intern will participate in structured HR activities designed to complement academic studies and professional development while gaining exposure to OPWDD-related workforce practices and nonprofit Human Resources operations.

KEY RESPONSIBILITIES

Recruitment & Candidate Coordination

• Maintain applicant tracking information and candidate status updates.
• Communicate with candidates regarding interviews, documentation, appointments, and next steps.
• Coordinate interview, appointment, and orientation scheduling.
• Assist with reference-check coordination using established procedures.
• Coordinate with department heads and Program Directors regarding staffing needs.
• Assist with ongoing communication and follow-up with staffing companies.
• Prepare recruitment materials and supplies for job fairs.
• Organize candidate information and assist with post-event follow-up.

Onboarding & Orientation
• Prepare new-hire documents, forms, and onboarding materials.
• Coordinate orientation schedules and assist with new employee orientation.
• Assist with ensuring new employees receive agency email accounts and required Relias training assignments.
• Follow up on outstanding onboarding and new-hire requirements.
• Assist with preparing staff and individual identification cards.

Training & Compliance Tracking
• Track employee training, certifications, expiration dates, and outstanding requirements.
• Maintain training and compliance logs and assist with audit preparation.
• Send approved reminders regarding required or expiring training and certifications.
• Assist with monthly Medicaid Exclusion List checks and related tracking.

HR Records & Projects
• Organize, scan, upload, and file HR documents according to agency procedures.
• Maintain HR spreadsheets, calendars, forms, trackers, and departmental records.
• Participate in special HR projects, process-improvement initiatives, and other assigned learning activities.
• Assist with other assigned tasks and projects as directed by the Operations Administrator or authorized management personnel.

The internship provides supervised exposure to:
• Recruitment, candidate communication, applicant tracking, and onboarding.
• OPWDD and human-services workforce practices.
• Relias training, certification, and compliance tracking.
• HR records management and administrative systems.
• Professional communication with employees, candidates, Program Directors, staffing partners, and other agency personnel.

 

REQUIRED QUALIFICATIONS

  • Must be currently enrolled in a college or university program in Human Resources, Business Administration, Business Management, Healthcare Administration, or a similar related field.

  • Familiarity with OPWDD services, requirements, or provider operations is preferred.

  • Strong organizational and time-management skills.

  • Excellent attention to detail and an analytical approach to assignments.

  • Strong written and verbal communication skills.

  • Ability to maintain confidentiality and exercise sound professional judgment.

  • Basic proficiency with Microsoft Office or similar business applications.

  • Ability and willingness to learn HR systems, Relias, agency procedures, and applicable compliance requirements.

  • Ability to participate approximately 20 hours per week during the established internship term.

    CONFIDENTIALITY & PROFESSIONALISM

  • The intern may have access to confidential employee, candidate, individual, and agency information and must maintain strict confidentiality, exercise sound judgment, and handle all information professionally and appropriately.

  • The intern must follow agency policies regarding confidentiality, privacy, information security, and records management and refer sensitive HR matters to the Operations Administrator or other authorized management personnel.

  • INTERNSHIP STRUCTURE & SUPERVISION

  • This internship is designed to provide a structured educational and professional-development experience within a nonprofit human-services organization.

  • The Human Resources Intern will report directly to the Operations Administrator and receive supervision, instruction, guidance, and feedback while participating in assigned HR activities. The intern will assist with preparing, organizing, coordinating, tracking, communicating, and following up on HR-related activities but will not independently assume responsibility for essential HR management functions.

  • EDUCATIONAL CONNECTION

  • Whenever available through the intern's college or university, the agency may cooperate with reasonable requirements related to internship or fieldwork credit, learning objectives, faculty communication, progress evaluations, and required internship documentation. The internship schedule may be coordinated around the intern's academic commitments.

  • UNPAID INTERNSHIP ACKNOWLEDGMENT

  • The intern and the agency understand that this is an unpaid internship designed for educational, professional-development, and practical learning purposes. Participation in the internship does not create an entitlement or guarantee of paid employment with the agency at the conclusion of the internship.
